The Vault page allows you to add triggers for sending letters to properties that were previously on the market but have since been withdrawn. Each property is cross-referenced against the Land Registry to ensure it has not been sold privately in the meantime.

1. Vault Triggers
What it does:
Vault triggers determine which withdrawn properties will appear on your Send Letters page.
How to use:

Enable or Disable Triggers: Toggle a trigger on or off by ticking the box next to its name. Click Save to confirm changes.

Access Vault Triggers: Navigate to Settings → General Settings → The Vault.

Edit Triggers: Select Edit to adjust the content or criteria of a Vault trigger.

Preview Trigger: Use the Preview option to check how the letters will look as an A4 PDF.
2. Editing Vault Templates
What it does:
Each Vault trigger is linked to a letter template. Editing a template allows you to adjust the content on your letters.
How to edit a template:

Select Edit next to the trigger you want to update.

Make changes in the editor.
-
Click Save to apply your updates.
Content guidelines:
-
Greetings & Sign-offs: Do not include these in your template. They’re added automatically from your Greetings & Sign-offs tab.

Letterheads:
-
Your default uploaded letterhead will be applied automatically.

To use a different design, select Change Trigger Letter in the editor and choose from your uploaded letterheads.

Note: If you apply a custom letterhead, it won’t update automatically if your default letterhead changes. You must update it manually.

Preview: Always use the Preview button to check your letter before finalising.

Save: Ensure you click Save before leaving the editor.
3. Spectre A.I. Content Generation
What it does:
Spectre A.I. can create professional letter content for your Vault triggers. This is useful if you prefer not to write your own letters.
How to use:

In the editor, click Write using Spectre A.I. (top-right).

Select your preferred tone of voice and letter length.
-
Enter up to three unique selling points for your brand.

(Optional) Add additional instructions under Advanced Options.

Click Write my letter.
Refining the generated content:
-
Regenerate if you’d like a different draft.
-
Refine inputs to guide the AI towards better results.
-
Copy the content into your template once you’re satisfied (remember to remove any greetings or sign-offs the AI may have added).
Important: Always proofread AI-generated content before using it. While Spectre A.I. is tailored for estate agency marketing, it may occasionally produce inaccurate or irrelevant text.
4. Automating Vault Letters
What it does:
Vault letters can also be sent automatically through Spectre’s Automation feature.
How to use:

Automation is an optional setting and can be configured separately.

Once enabled, properties that meet your Vault trigger criteria will have letters sent automatically.
