Send Campaign

The Lettings Campaigns feature allows you to target landlords and properties in your area with tailored campaigns. This helps you win new instructions, grow your market presence, and build stronger relationships with landlords.


Step 1: Choose Your Campaign

When creating a new campaign, you’ll start by selecting one of three targeting journeys:

  • All Properties – Grow your visibility by targeting every property in your allocated area. Perfect for broad awareness campaigns and uncovering new opportunities to secure leads.
  • On Market Lettings – Focus on properties already listed with competitors. This helps you reach landlords who are actively on the market and gives you the chance to win instructions directly from your competition.
  • Tenanted – Target properties currently let through other agents. By building relationships with these landlords now, you position yourself front of mind when they’re ready to re-market.

No matter which journey you choose, the first steps in setting up your campaign are the same. However, each journey has its own tools, filters, and targeting options to ensure your campaign is precise, effective, and tailored to your strategy.


Step 2: Choose Your Format and Template

Once you’ve selected your targeting journey, you’ll be prompted to Create a New Campaign. This is where you define your mail type and how your message will be delivered.

1. Choose Campaign Format

On the left-hand side, select your preferred format:

  • Postcard – Ideal for visual impact and quick messaging.
  • Letter – A more detailed, formal style for in-depth offers or introductions.

2. Choose a Template

You’ll see your template options under the My Templates tab:

  • These include previously saved or custom-made templates created by your agency.
  • Click a template to preview or begin customising it.
  • If you don’t find a suitable option:
    • Navigate to the Template Library for a broader range of professionally designed templates tailored to lettings campaigns.
    • Or, click Create New Template (top right-hand corner) to design your own from scratch.

Once you’ve selected the journey and template, you’ll be taken to the Map View — where you’ll see every property fitting the selected journey type within your allocated patch. 


Step 3: Explore the Map View

The map provides a visual representation of available properties in your area, depending on the journey type. You can:

  • Zoom in for a detailed street-level view.
  • Zoom out for a broader snapshot of your patch to spot property clusters.
  • Draw Area to refine your campaign to a specific region.
  • Use Saved Areas to reload previously targeted patches.

From here, the filters available will depend on the campaign journey you selected.


All Properties Journey

Target every property in your patch, then make your campaign more precise with advanced filters, including:

  • Postcode Sector – Choose to target properties in specific sector/s within your allocated patch. 
    • Bedrooms – Choose specific ranges (e.g., 1–2 bed flats or 4+ bed family homes).
    • Years Since Sale – Target properties that haven’t changed hands recently.
    • Property Type – Detached, semi-detached, terraced, flats, etc.
    • Bungalow Only – Isolate bungalows if your services suit this property type.
    • Size (sq ft) – Select within a square footage range.
    • Outdoor Space Size – Homes with gardens or large outdoor areas.
    • Council Tax Band – Infer property value or affordability range.
    • EPC Rating – Focus on energy-efficient homes or those needing improvement.
    • Garden Direction – Target south-facing or other orientations.
    • Tenure – Leasehold vs. freehold.
    • Registered HMO – Identify Houses in Multiple Occupation.

    Refine All Properties Campaign

    You can further refine your audience by selecting Next: Refine Selection. Use the panel to exclude:

    • Recently Contacted Properties – Prevent over-communication (7, 14, 28 days, or custom).
    • Known Rental Properties – Focus on landlords who may not already be letting.
    • Recently Listed for Sale – Exclude properties listed in the last 28 days, 2–3 months, or custom.
    • On-Market ‘For Sale’ Properties – Ensure messaging stays lettings-focused.

    Each filter automatically updates the Campaign Size Breakdown on the right-hand side.


    Reducing All Properties Campaign Size

    If the list is still too large, use the AI tool Reduce Campaign Size. Enter the desired mail count, then prioritise recipients by:

    • Most Likely to List in the Next 12 Months – AI-driven targeting (Spectre A.I.).
    • Estimated Value – Target by highest or lowest value.
    • Time Since Sale – Years since last sale.

    On Market Journey

    Target landlords with properties already listed with competitors. Filters include:

    • Postcode Sector.
    • Listing Agent – Focus on specific competitor agents.
    • Time on Market (weeks) – Target longer-listed properties.
    • Property Value – Define value ranges.
    • Rental Price – Filter by rent band.
    • Bedrooms.
    • Years Since Sale.
    • Has Had Reduction – Target those with price/rent reductions.
    • Listing Status – Available, let agreed, etc.
    • Property Type.
    • Bungalow Only.
    • Size (sq ft) – Internal area range.
    • Outdoor Space Size.
    • Council Tax Band.
    • EPC Rating.
    • Garden Direction.
    • Tenure.
    • Registered HMO

    Refine On Market Campaign

    Further narrow down using exclusion filters:

    • Exclude Recently Contacted Properties.
    • Exclude Recently Listed for Sale.
    • Exclude ‘For Sale’ Properties.
    • Filter by Data Source – My Data, Title Deeds, or Spectre Data.
    • Show Only Multiple Listings – Identify professional landlords.
    • Refine by Portfolio Size – Focus on landlords with 5–10 or 20+ properties.

    Each filter automatically updates the campaign size.


    Reducing On Market Campaign Size

    Use the AI tool Reduce Campaign Size, enter a desired mail count and reduce with options to prioritise properties by:

    • Most Likely to List in 12 Months.
    • Estimated Value.
    • Time Since Sale.

    Tenanted Journey

    Target landlords with currently let properties via competitors. Filters include:

    • Postcode Sector.
    • Listing Agent.
    • Time on Market (weeks).
    • Property Value.
    • Rental Price.
    • Bedrooms.
    • Years Since Sale.
    • Has Had Reduction. 
    • Listing Status.
    • Property Type.
    • Bungalow Only.
    • Size (sq ft).
    • Outdoor Space Size.
    • Council Tax Band.
    • EPC Rating.
    • Garden Direction.
    • Tenure.
    • Registered HMO.

    Refine Tenanted Campaign

    Exclusion options include:

    • Exclude Recently Contacted Properties.
    • Exclude Recently Listed for Sale.
    • Filter by Data Source.
    • Refine by Portfolio Size.

    Reducing Tenanted Campaign Size

    Use the AI tool Reduce Campaign Size, enter a desired mail count and reduce with options to prioritise properties by:

    • Most Likely to List in 12 Months.
    • Estimated Value.
    • Time Since Sale.

    Step 5: Preview and Send

    As you apply filters, the map updates in real time, showing your audience size and location. Once you’re happy:

    • Preview Your Campaign.
    • Exclude Recipients – Remove any addresses you don’t wish to target.
    • Send Your Campaign – Submit for print and delivery or download for in-house distribution.

     Regardless of which journey you start with, the process always ends here—with a refined, targeted campaign ready to launch.
