Print Design

The Print Design page allows you to upload, configure, and manage the layout of your letterheads, custom letter templates, and postcard designs. This ensures that all printed correspondence maintains a consistent, professional, and brand-aligned appearance.


Letterheads

This area gives you full control over the letterheads uploaded to your account.

  • Add New Letterhead
    • Upload your A4 letterhead design in PDF format by clicking Add New Letterhead.

  • Manage Letterheads
    • View and manage your uploaded letterhead designs.

    • Use the three-dot menu to delete or change individual files.

    • Sort designs by date created or last modified to locate specific versions quickly.

  • Make Default
    • To set a letterhead as your default, click the three-dot menu beside your chosen file and select ‘Make Default’.

    • This ensures that all letter templates associated with the default letterhead will adopt this design and page settings.

  • Preview Letterhead
    • Hover over any letterhead to preview the layout as a PDF (A4 format).

    • This allows you to confirm the layout and branding before editing or assigning it to your letters.


Editing a Letterhead

To customise the format and layout of your letter content, hover over the relevant design and click ‘Edit Letterhead’. Any changes made here will automatically apply to all letter templates that use this letterhead and you’ll be able to adjust the following:

  • Font Settings - Choose your preferred font family and font size for letter content.
  • Page Margins - Adjust the margin spacing around the content area to suit your layout, these settings help maintain clean alignment with design elements on the letterhead: 
    • Left

    • Right

    • Bottom

  • Content Spacing - Control the vertical spacing between key elements in the letter. These options ensure your text content aligns neatly with branding elements on your letterheads:
    • Address and body

    • Date and body

    • Body and disclaimer

Note: If your preview does not show the date or disclaimer, navigate to the Print Defaults section to enable those elements.

  • Live Preview
    • Use the real-time preview panel on the left to instantly review formatting changes as you make them.

    • Once you’re happy with the adjustments, click ‘Save Letterhead’ to apply them.

Tip:  After making changes, we recommend previewing your trigger letters to ensure layout alignment. Go to Event Triggers > Preview to check each letter against the updated format.


Letterhead Rules & Usage

  • Default Letterhead 
    • You can upload multiple letterheads to your account, but only one can be set as the default at any given time.

    • The default letterhead applies to:

      • All system-generated letters

      • Custom letter templates (unless manually changed)

      • Trigger letters (unless manually changed)

  • Applying Custom Letterheads to Custom Templates
    • If you wish to use a different letterhead for a specific custom letter, upload it from the Print Design page, then navigate to: Custom Letter Templates > Edit Template > Change Letterhead.

    • Any formatting or settings applied to that letterhead (e.g. font, spacing) will automatically carry through to the letter.

  • Applying Custom Letterheads to Trigger Letters
    • To assign a custom letterhead to a trigger letter: Go to Event Triggers > Edit (next to the relevant trigger) > Change Letterhead.

    • The selected letterhead's settings will be applied to that specific trigger letter.

  • Important Reminders
    • If you manually assign a custom letterhead to a letter, it will retain those settings, even if the default letterhead later changes.
    • To revert a letter back to the default letterhead, you must manually reassign it using the same process outlined above.
    • Once a Custom Letterhead is applied, any changes to the selection must be  updated manually.

Custom Letter Content

The Custom Letter Content section allows you to create, manage, and edit custom letter templates for various use cases—including campaign sends, single letters, and your 20:20 template. This section gives you full control over your messaging, helping ensure your communications are relevant, consistent, and professionally presented.


Managing Custom Templates

From this page, you can manage and edit all your saved custom letter templates:

  • Create a New Template — Start from scratch with a fully editable letter template.
  • Edit Existing Templates — Hover over a template and click ‘Edit Template’ to make changes.
  • Preview Templates — Hover over any template and click ‘Preview’ to view the full layout and content before sending or scheduling.
  • Delete Templates — Use the three-dot menu on any template to remove it from your account.
  • Sort Templates — Organise your view by date created or last modified to quickly locate specific versions.

Creating a New Custom Template

To create a new custom letter template:

  • Click ‘Create New Letter Template: You’ll be taken to the template editor screen.
  • Select a Letterhead: Choose from your uploaded letterheads, it will apply your assigned  default as standard.

Note: Any formatting previously configured against that letterhead (e.g. font, margins, spacing) will be automatically applied to this template.

  • Edit Your Custom Letter Content
    • Use the built-in formatting toolbar to style your text, add bold or italic emphasis, bullet points, and more. 
    • Don’t want to write from scratch? Click ‘Generate AI Content’ and select your preferred
      • Tone of voice (e.g. friendly, formal, persuasive)
      • Length (short, medium, long)
      • Key selling points to include
    • Spectre will then generate a tailored draft that you can edit or use as is, remember to review and remove any irrelevant or repeated information such as a sign off. 
    • Always ensure you preview your template to ensure you are happy with layout and design before sending. 

Postcard Templates

The Postcard Templates tab allows you to view, manage, and design postcard templates directly within Spectre. Whether you're editing an existing design or creating a new one from scratch, this section gives you the flexibility to tailor your postcards to suit seasonal campaigns, market activity, or lettings performance.


Accessing Your Templates

Navigate to: Lettings > Settings > Print Design > Postcard Templates tab.

From here, you can:

  • Create a new postcard template

  • Edit or preview existing templates

  • Sort by most recently modified to find recent work quickly

  • Search by template name using the search bar


Editing Existing Templates

To make changes to a current postcard:

  • Click the template you’d like to edit.

  • If the template was created within Spectre, you’ll be able to adjust text, images, layout, and elements directly.

Note: If the template appears as a single image (with no editable elements), it was likely uploaded by your marketing team. In this case, you won’t be able to edit it directly in Spectre. If changes are required, please contact your marketing team.


Creating a New Postcard Template

Click “Add New Postcard Template” to launch the editor. You can:

  • Choose from pre-designed Spectre templates (including seasonal and campaign options)

  • Or start from a blank canvas and build your design from scratch


Using the Postcard Editor

  • Add Elements: Use the Add Element button to include:
    • Text blocks (adjust size, font, colour)

    • Images (upload your own or insert placeholders)

    • Shapes (lines, boxes for design accents)

    • QR Codes (lead capture or property report links)

  • Manage Layers: Each element you add appears in a layered list on the left. From here, you can:
    • Click to edit or delete an element

    • Reorder elements by dragging them up or down the list (higher = appears on top)


Using the Variable Image Template  

If you're building a postcard for automated 20:20 sends, or for a future custom campaign, you can include a dynamic property image by:

  • Clicking Add Element > Image
  • Selecting Image Placeholder

This will work differently dependent on the journey you are taking: 

  • 20:20 Campaigns: This placeholder will automatically pull in the relevant property photo when your campaign is sent out.
  • Custom Campaigns: You will be required to manually replace the variable image with an uploaded image from your desktop. 

QR Codes & Property Reports

If your agency uses Spectre Property Reports, you can add QR codes to your design that link directly to a Lead Capture Form: 

  • This allows recipients to scan and access property insights or request a valuation instantly from their device.
  • You must have an active Landing Page created in your Property Report settings. 

Tool Tips

  • Consistency: Regularly review your default designs and templates to ensure your branding and messaging remain consistent.
  • Optimisation: Follow the recommended file formats and sizes when uploading designs to ensure the best quality output.
