Previously Sent Mail

You can view your generated letters and postcards by navigating to Lettings > Actions > Previously Sent Mail. This section allows you to recall, download, and view past campaigns with Spectre, helping you track canvassing activities and plan follow-up strategies.


Mail Type

Your campaigns are organised by type, with the following tabs available:

  • Regular Letters + The Vault: Trigger letters sent via the old lettings system.
  • 20:20s: Any mail sent from the ‘Send 20:20’ journey.
  • Campaigns: Any mail sent via ‘Send Campaign’ journey.
  • Single Sends: Any mail sent to an individual property or landlord.
  • Direct Mail:  Trigger letters sent via the 'Send Mail' page. 

Status Indicators

The Status column indicates whether your campaign was sent using Spectre credits or downloaded for in-house printing:

  • Outsourced: Sent through Spectre using credits. 
  • Generated: Downloaded and printed in-house.
  • Pending: Awaiting approval from a company admin (for postcard print approvals when outsourced).

Managing Campaigns

  • Recipient List: Click the dropdown arrow next to each campaign to view the full list of targeted addresses.
  • Preview PDFs: Click the three dots next to a campaign and select Download to preview the generated PDFs.
    • Please note, campaigns generated over three months ago will not be available for download. 
  • Deleting Campaigns: If there’s an issue with a campaign:
    • For outsourced campaigns, click the three dots, select Recall, and then Delete.
    • For downloaded campaigns, just follow the process once and click Delete.

Sending via Spectre Credits

  • Lettings letters are sent to the printers at 10am each day.
  • Lettings postcards are sent to the printers at 2pm each day.
  • Up until these times, you can recall a batch by clicking the three dots and selecting Recall.
    • This prevents it from being sent to the printer but keeps the campaign in your Sent Mail for download. You can delete it if needed.

Note: Once sent to the printers, we cannot guarantee that mail can be pulled from production. 


FAQS

  • Identifying Outsourced Campaigns:
    • If you’re unsure whether your campaign is outsourced, check for the Recall option. If it’s not available and only the Download or Delete options appear, the campaign is not being outsourced.
  • Regenerating Deleted Campaigns:
    • It’s not possible to automatically replicate campaigns from this page. To regenerate any campaigns, you’ll need to manually create them again.
