The PDF Settings page under ‘Settings’ > ‘General Settings’ > ‘PDF Settings’ allows you to customise the layout, margins, font size, and padding of your letters when generating PDF versions. This page is where you can adjust your letter content to meet your preferences and ensure everything is aligned correctly when printed.
Adjusting Margins and Padding
What it does:
You can adjust the margins and padding for your letters, controlling how much space there is between the edges of the page and the content of your letter. This is crucial for ensuring that your letters print neatly and fit within the window of a standard envelope.
Settings Available:
- Top Padding (mm): Adjust the top margin to ensure your content starts in the right place on the page.
- Bottom Padding (mm): Control the space at the bottom of the letter, ensuring the text fits properly and doesn’t get cut off.
- Left Padding (mm): Set the left margin to control how far from the left edge the content begins.
- Right Padding (mm): Control the right margin to avoid text or elements being too close to the edge.
- Address Padding (mm): Adjust the padding around the address section to ensure it aligns correctly with envelope windows.
How to Use:
- Use the + and - buttons to increase or decrease the padding for each side of the page.
Font Size and Style
What it does:
You can also modify the font size and font style to ensure your letters are in the desired format. This is particularly useful for making your letters more readable or adjusting to specific printing requirements.
Settings Available:
- Font Size: Choose from a variety of font sizes to ensure your letter’s text is legible and appropriately sized for printing (e.g., 10pt).
- Font: Select from a list of available fonts (e.g., Helvetica) to match your branding or preference.
How to Use:
- Adjust the Font Size and select the Font style for the body text as per your preference.
Note: Regardless of any changes to the font size or style, the address, greeting, and sign-off will always use the default font size of 10pt, as set by Spectre. These elements are fixed to ensure consistency and alignment with standard letter formatting.
Editing a Letter with Default Letterhead
What it does:
When you edit a letter that has the default letterhead applied, the settings you change will apply to all letters that use that default letterhead. This includes changes to padding, margins, font size, and more. This helps maintain consistency across all of your standard letters.
How to Use:
- Any changes made to a letter with the default letterhead applied will automatically affect all other letters using the same default letterhead. If you want to apply different settings for a specific letter, you’ll need to use a custom letterhead.
Editing a Letter with a Custom Letterhead
What it does:
When you edit a letter that has a custom letterhead applied, the settings you adjust will apply only to that specific letter. Any other letter using the same custom letterhead will also use the same settings. This allows you to have unique formatting for different types of letters.
How to Use:
- If you wish to have individual settings for a particular letter, you will need to apply an individual custom letterhead to that letter. Editing the letter with the custom letterhead will only affect other letters with the same custom letterhead assigned.
Previewing and Final Adjustments
The PDF Settings page gives you a visual representation of how your letter will look with the applied settings. You can see the padding, margins, font size, and how the address aligns with the envelope window.
