Letter Triggers & Templates

The Letter Triggers & Templates page is where you manage the content that is sent through Spectre Mail. From here, you can:

  • Set up Letter Triggers

  • Create and manage Custom Templates

  • Use Spectre A.I. to generate professional content

  • (Optional) Enable Automation to streamline your workflow


Letter Triggers

What it does:
Letter triggers determine which properties appear on your Send Mail page. When properties meet the criteria of the triggers you’ve set, they will be listed for sending letters.

How to use:

  • Enable or Disable Triggers: Toggle a trigger on or off by ticking the box next to its name. Click Save Letter Settings to confirm.

  • Add a New Trigger: Click Add New Trigger at the top of the list to create additional criteria for when letters should be sent.

  • Edit Existing Triggers: Select Edit next to any trigger to update its content or criteria.

  • Preview Trigger: Use the Preview button to see how the letter will look when generated as an A4 PDF.


Editing Letter Triggers

What it does:
Editing a trigger allows you to refine the criteria and content associated with each one.

How to edit a trigger:

  1. Click Edit next to the trigger you want to adjust.

  2. Update the content. 

  3. Select Save to apply changes.

Types of triggers include:

  • Regular on-market triggers such as “New Instruction” or “2 Weeks on the Market.” These are pre-set and available from the dropdown menu.


Custom Letter Templates

What it does:
Custom templates let you create, store, and manage your own letter content. These are ideal for one-off campaigns or highly specific messaging outside your usual trigger schedule.

How to create a template:

  1. Scroll to the Custom Letter Templates section and click Create Template.

  2. Use the editor to design your letter.

  3. Click Save to store your template.


Content Guidelines

When creating or editing content, keep these best practices in mind:

  • Greetings & Sign-offs: Do not include these in your templates — they’re added automatically from the Greetings & Sign-offs tab.

  • Letterheads: If you’ve uploaded letterheads, your default one will be automatically applied to all letters.

    • To add a custom letterhead: select Edit on the trigger → Add custom letterhead → choose from your uploaded designs.

Note: If you apply a custom letterhead, it won’t update automatically if your default design changes. You’ll need to manually change it by repeating the above steps. 

  • Preview: Always use the Preview button to check your letter.

  • Save: Ensure you click Save before exiting to avoid losing changes.


Spectre A.I. Content Generation

What it does:
Spectre A.I. can generate professional letter content for your On-Market triggers, saving you time and effort.

How to use:

  1. In the editor, click Write using Spectre A.I. (top-right).

  2. Choose your tone of voice and letter length.

  3. Enter up to three unique selling points that make your brand stand out.

  4. (Optional) Add extra instructions under Advanced Options.

  5. Select Write my letter to generate a draft.

Refining the content:

  • Regenerate if you’d like a different draft.

  • Refine inputs to improve the output.

  • Copy content into your template once satisfied (remember to remove greetings/sign-offs if included).

Important: Always proofread AI-generated content. While Spectre A.I. is tailored for estate agency marketing, occasional inaccuracies or irrelevant suggestions may occur.


Automating Your Letters

What it does:
Automation allows you to fully streamline the letter-sending process. With automation enabled, letters are sent automatically to properties that meet your trigger criteria.

How to use:

  • Automation is an optional feature and can be set up separately.

  • Once enabled, you no longer need to manually choose which properties receive letters — Spectre handles this for you.
