The Landlords page gives you a comprehensive view of every landlord within your Spectre database, helping you prioritise who to target based on opportunity, portfolio quality, and rental value. This powerful overview highlights each landlord’s opportunity score, portfolio condition, property count, rental income, and more—allowing you to make smarter, data-led decisions when planning your marketing outreach or expansion.
Filtering the Landlords Page
At the top of the page, you'll find filters to help narrow your search:
- Search Bar: Find a specific landlord by name or address.
- Opportunity Score: Filter landlords by their likelihood to convert (High, Medium, Low).
- Portfolio Condition & Size: Target by EPC condition or the number of properties owned.
- Source: Filter by where the data came from—manually uploaded, Spectre’s pre-populated data, CRM integration, or purchased Title Deeds.
- HMO: Choose to include or exclude landlords with known HMOs.
- Properties Location: Toggle between viewing landlords properties in your area only or choose to include their properties across all locations.
These filters allow you to refine your list to focus on landlords most aligned with your marketing strategy or those who present the highest opportunity.
What is the Opportunity Score?
The Opportunity Score predicts how likely a landlord is to instruct your agency. Powered by Spectre’s AI, it's calculated based on a variety of data points, including:
- Interaction history – Has this landlord previously engaged with your agency?
- Market activity – Have they been recently active (e.g. listed or delisted properties)?
- Presence in your area – How many of their properties are within your patch?
- Agency exclusivity – Do they typically work with multiple agents or one?
Each landlord is given a score of High, Medium, or Low, helping you quickly identify your most promising prospects.
What is the Portfolio Condition?
The Portfolio Condition represents the average EPC (Energy Performance Certificate) rating across a landlord’s known portfolio. It reflects the condition and efficiency of their properties.
Why does this matter?
- Compliance: Landlords with poor EPCs may need to make improvements under government regulations.
- Opportunity: Poor condition portfolios can indicate disengaged or financially stretched landlords—often more open to switching agents.
Navigating the Landlords Page
Once you’ve applied your filters (optional if you decide view the full dataset), the main table will display the following columns for each landlord:
- Landlord Name – Click to view the full portfolio overview.
- Correspondence Address – If available; required for sending letters.
- Opportunity Score.
- Portfolio Condition.
- Number of Properties.
- Total Monthly Rent (PCM) – Sum of rents across all known properties.
- Source – Where the correspondence data originated (e.g. Spectre, Uploaded, CRM).
- Send Direct Mail – Quickly initiate a letter or postcard campaign.
Sending Direct Mail
- If a correspondence address is available, you’ll see the Send Direct Mail link next to the landlord. Clicking this allows you to instantly generate a letter or postcard directly to the landlord.
- What if no address is available? You won’t be able to proceed until an address has been added. To add one:

- Click on the landlord’s name to open their Portfolio Overview.
- Go to the Properties tab and click into a specific property.
- Edit the contact details manually, or purchase a Title Deed to populate them automatically.
- Navigate back to the Landlords page—if an address has been successfully added, the Send Direct Mail button will now be clickable.
Tips for Maximising the Landlords Page
- Combine filters to pinpoint high-value leads (e.g. High Opportunity Score + Poor EPC + In Area).
- Use source filters to tailor messaging—uploaded data may need re-engagement, while Spectre data may be brand-new.
- Keep correspondence details updated to avoid delays in campaign delivery.
