From your ‘Settings’ > ‘General Settings’ > ‘Greetings & Sign-offs’ page, you can easily customise the default salutation, addressee, and sign-off for all your letters.
Default Greetings
What it does:
This section allows you to set up your default greeting and addressee for all letters sent when the vendor's name is unavailable.

Salutation: This is the greeting that will appear at the beginning of the letter (e.g., “Dear Homeowner”).

Addressee: This is the name that will appear at the top line of the address block when the vendor's name is not available (e.g., "The Homeowner").
How to Use:

Salutation: Enter the default salutation that you’d like to use when the vendor's name is not available.

Addressee: Enter the default addressee name that will appear in the address block.
You can choose to have a blank salutation or blank addressee by selecting the relevant options.
Note: If you leave these fields blank, no salutation or addressee will be included unless the vendor name is known.
Letter Sign Off
What it does:
This is the sign-off that will appear at the end of each letter. You can personalise this section so it suits your preferences, this will be included in every letter sent.
How to Use:

Enter your sign-off text (e.g., “Kind regards”, job role, name).

Upload a written signature or a head shot as an image (JPEG format only). The image will be inserted beneath the text of the sign-off.

Reformat accordingly if you'd like to add any styling to the text (bold, italics, etc.), use the formatting tools above the text box.
- To start a new line or add a single line break, press and hold the SHIFT key and press ENTER (or RETURN on Mac).
Important: If your letterhead design includes an embedded sign-off, make sure the Letter Sign Off section is left blank with a few spaces saved. This ensures the system recognises there is a sign-off, as letters can’t be sent without one. This will prevent duplication if your letterhead already includes one.
Save Your Changes
What it does:
After customising your greetings and sign-offs, don’t forget to save your changes.

Click Save Default Greetings for the salutation and addressee settings.

Click Save Sign Off after making adjustments to your sign-off and signature.
By setting up your Greetings & Sign-offs, you ensure that your letters will be properly formatted and personalised for all recipients, even if vendor details are unavailable.
