Event Triggers
The Event Triggers page allows you to control what mail is sent when Spectre detects key changes in a property’s on market status, it is where you manage the content and mail type linked to each trigger, giving you control over what is sent and when. These triggers help you send timely and relevant communications to your audience.
An event trigger activates when a property meets specific criteria—for example, when a property comes onto the market or when its had a reduction. Once triggered, the matching property will appear on your Send Mail page, ready for your review and sending.
On Market Triggers
These triggers identify properties that Spectre recognises as currently on the market.
- To enable a trigger, toggle the switch so the status shows Active.
- To add a new trigger, hit 'Manage Triggers'.
- You can select triggers based on their time on market, from new instruction to 56 weeks.
- Click Manage Triggers to open a dropdown list of all the Event Triggers available in Spectre, add them into your trigger timeline at your discretion.
- When active, properties matching the trigger criteria will appear on your Send Mail page.
Event Triggers
Event triggers allow you to target properties at core events during their time on market
- To enable a trigger, toggle the switch so the status shows Active.
- To add a new trigger, hit 'Manage Triggers'.

You can select triggers based on recent x weeks post SSTC, reductions, withdrawals and fall throughs.
- Click Manage Triggers to open a dropdown list of all the Event Triggers available in Spectre, add them into your trigger timeline at your discretion.

This gives you the opportunity to contact properties at key points during the sales journey.
- When active, properties matching the trigger criteria will appear on your Send Mail page.
Set Content
After selecting your Triggers, the next step is to Set Content. This is where you configure exactly what your prospects will receive. You have the option to select a letter or postcard template for each individual trigger, allowing you to switch up your marketing strategy where desired.
Letters
- Select Letter from the Mail Type options.
- Select a pre-existing template or create a new one.
- Personalise the Letter
- Enter your letter content, adjust the messaging to reflect the specific trigger event.
- Structure the body clearly (introduction, message, call to action).
- Insert relevant on market merge fields.
Tip: Double-check all merge fields are formatted correctly before sending, they must be sitting within two double brackets, e.g, [[branch_contact_number]].
- Use Spectre AI (Optional for Letter mail types only)
- Open Spectre AI within the editor.
- Specify: tone, letter length & key selling points.
- Generate the draft.
- Edit the content where required to match your brand.
- Remove greetings and sign-offs (these are added automatically from Print Defaults).
Tip: Please review and proofread AI-generated content carefully. While trained for estate agency marketing, the AI may occasionally produce inaccurate or irrelevant details. Remember to remove any AI-generated greetings or sign-offs since those are automatically applied.
- Assign a Custom Letterhead (optional, your Default letterhead will be applied to all letters with no custom association)
- Select a letterhead from your uploaded designs.
- Hit save.
- Once a Custom Letterhead has been assigned, it cannot be reverted to the default and any changes to your uploaded letterheads must be manually changed here.

Postcards
- Select Postcard from the Mail Type options.
- Select a pre-existing template or create a new one.
- Personalise the Postcard
- Add your images, text and brand graphics and logos.
- Adjust the messaging to reflect the specific trigger event.

- Insert relevant on market merge fields.
- Hit Preview to review changes to your template in PDF format.
- Hit Save once you have finished and are happy with your design.
Managing Trigger Content
For each trigger, click the three-dot menu to access the following options:

Preview: View the content as it will appear when sent.

Default settings attached to the Letterhead like date, disclaimer, greeting, and sign-off will be pulled from Print Defaults where a letter mail type is applied.

Tip: Always ensure you use the Preview option to verify how your mail will look before sending.

Change Content: Hit this to change your mail type between a letter or a postcard.

Disable & Hide: Deactivate the trigger so corresponding properties no longer appear on your Send Mail page, and remove it from the Event Triggers list to keep your workspace organised.
Property Filters
These allow you to control which properties qualify for your trigger events and how frequently communication is sent. They ensure your outreach remains targeted, relevant, and aligned with your marketing strategy.

The Price Criteria filter lets you define a minimum and/or maximum property price.
- Only properties within this price range will receive trigger mail.

- Properties outside the defined range are automatically excluded, but may be included in other journeys such as campaigns.
- This helps you focus communication on properties that match your target market or specific campaign objectives.

The Letter Interval setting controls how often a property can receive automated communication.
- Enter the minimum number of days between letters.
- The system will prevent another letter from being sent to the same property until the specified number of days has passed.
- This helps avoid over-contacting the same property while maintaining consistent follow-up.

After adjusting your filters, click Save and update to apply the changes.
- Your filters will immediately apply to the active, selected Event Triggers.
