The Event Triggers page allows you to control what mail is sent when Spectre detects key changes in a property’s status, it is where you manage the content and mail type linked to each trigger, giving you control over what is sent and when. These triggers help you send timely and relevant communications to your audience.
An event trigger activates when a property meets specific criteria—for example, when a property comes onto the market or when a rental property is approaching renewal. Once triggered, the matching property will appear on your Send Mail page, ready for your review and sending.
On Market Triggers
These triggers identify properties that Spectre recognises as currently on the market.
- To enable a trigger, toggle the switch so the status shows Active.
- When active, properties matching the trigger criteria will appear on your Send Mail page.
Renewal Triggers
Renewal triggers allow you to target properties that were previously let and may be approaching tenancy renewal. Spectre uses the last known let date to estimate when the tenancy is likely to expire.

You can select triggers based on the number of weeks/years since the property was last let, with options ranging from 1 year, 4 weeks to 3 years, 20 weeks before the anniversary.

This gives you the opportunity to contact landlords ahead of key renewal periods.

Properties matching the trigger criteria will then appear on your Send Mail page.
Managing Trigger Content
- Click Manage Triggers to open a dropdown list of all the Event Triggers available in Spectre, add them into your trigger timeline at your discretion.
For each trigger, click the three-dot menu to access the following options:

Preview: View the content as it will appear when sent, including your chosen mail type (letter/postcard)

Default settings attached to the Letterhead like date, disclaimer, greeting, and sign-off will be pulled from Print Defaults.

Change Content: Open the content editor to update the letter’s wording and choose between sending a letter or a postcard.

Disable & Hide: Deactivate the trigger so corresponding properties no longer appear on your Send Mail page, and remove it from the Event Triggers list to keep your workspace organised.
Editing Content
In the content editor, you can:

Write or paste your content using the formatting toolbar.

Use merge fields (e.g.,
[[property_address]]
) to personalise letters - Choose to apply a letter or a postcard from to the trigger.
Note: Leave out the salutation (e.g., “Dear Sir/Madam”) and sign-off (e.g., “Kind regards”) — these are added automatically from your Print Defaults.
Using Spectre’s AI Copywriter (for Letter type only)
If you prefer not to write the content yourself:

Select Generate AI Content.

Choose the desired tone of voice and letter length.
-
Add up to three unique selling points highlighting your brand.

Enter any additional instructions under Key things to include.

Click Generate AI Draft.
You’ll receive a draft that you can preview, regenerate, or edit as needed. When ready, copy the text into your template.
Tip: Please review and proofread AI-generated content carefully. While trained for estate agency marketing, the AI may occasionally produce inaccurate or irrelevant details. Remember to remove any AI-generated greetings or sign-offs since those are automatically applied.
Applying a Custom Letterhead
To use a different letterhead for a specific trigger:

Click Change Trigger Letter in the content editor.

Select a letterhead uploaded to your account.

If you want to adjust the letterhead’s formatting (such as margins or fonts), go to Print Design > Letterheads > Edit Letterhead.
Tip: Once a custom letterhead is assigned, the system will not automatically revert to the default—you must select the default or a custom letterhead manually.
Saving and Previewing
After making changes:

Click Save to apply them.

Ensure you use the Preview option to verify how your letter or postcard will look before sending.
